Custom vs Fixed Departures: When Does a Private Expedition Make Sense?

Fixed departures are simple and sociable. Private expeditions are flexible and yours alone. An honest look at both, and how to pick the one that fits your group.

Most people choose a trek by looking at dates. A batch leaves on the 14th, you book a seat, you show up. It is simple, and for many people it is exactly right. But sometimes the dates do not fit, the group is not what the batch expects, or you simply want the mountain to yourselves. That is when a private expedition starts to make sense.

Neither option is better. They are built for different needs. Here is an honest look at both.

What a fixed departure is

A fixed departure is a scheduled small-group trek with set dates, a set route and a mix of travellers. You book a spot, meet your trek leader and the rest of the group at the starting point, and walk together. The itinerary is already tested and the logistics are planned.

Think of it as a ready-made meal, cooked well. It saves you decisions and brings together people who often become friends by day three.

What a custom or private expedition is

A private expedition is a trek built around your group. You choose the dates, the pace and sometimes the route. You bring the people, whether that is your family, college friends or colleagues, and the trek team is for you alone.

Think of it as a tailored suit. It costs more thought and sometimes more money, but it fits you better.

Side by side

  • Dates: fixed departures follow the published schedule. Private trips run on dates you pick, within the trek's season.
  • Company: fixed departures mix you with other small-group travellers. Private trips are just your people.
  • Pace: on a fixed departure, the group sets a shared pace. On a private trip, the pace can be matched to your slowest and fastest walker.
  • Flexibility: fixed routes are set. Private trips can adjust rest days, add a day for acclimatization, or tweak the experience.
  • Cost: fixed departures usually cost less per person because costs are shared across the group. Private trips are priced for the group you bring and can work out better per person as the group grows.
  • Decisions: fixed departures need very few. Private trips need a bit of planning, though we help with that.

When a fixed departure is the better choice

  • You are travelling solo and want to meet people.
  • Your dates are flexible and you can fit a published batch.
  • You are on a tighter budget and want to share costs.
  • You are new to trekking and like the comfort of a tested, well-run itinerary.
  • You enjoy the lottery of a group. A good mix of strangers is part of the fun.

When a private expedition makes sense

These are the situations where we see private trips work best:

  • Families. Kids, parents and grandparents walk at different speeds. A private trek lets you slow down, add a rest day and keep everyone happy. This is what our Family Adventures are built for.
  • Friend groups. If you already have six or eight friends who want to go together, a private departure means no waiting for matching batch dates and no splitting up.
  • Corporate teams. A team away from desks, solving small problems on a trail, is a very different offsite. Our Corporate Offsites are planned around your goals, dates and the fitness of your people.
  • Special occasions. A milestone birthday, an anniversary, a proposal at a summit. Privacy and flexibility matter more here.
  • Different needs. A slower pace, a specific diet, a mix of fitness levels, or a first-ever trek for a nervous group. A private plan can be built around that.
  • Dates that do not fit. If the batch you want is full or never lines up with your leave, a private trip puts you in charge of the calendar.

What actually changes with a private trek

The mountain, the safety standards and the support do not change. You still walk with a certified trek leader and a local crew. What changes is the shape of the experience. You can start later in the morning, stop longer at a view, add a village stay or swap a long day for two shorter ones.

Some groups like to go one step further and design the experience itself, adding things like a different base village, a slow-travel day or a particular theme. That is what our Customize Your Experience page is for. Tell us what you want and we will shape a plan around it.

Questions to ask before you decide

  • How many of us are going, and how different are our fitness levels?
  • Do our dates fit any existing departure?
  • Is the main goal the trek itself, or time together?
  • Do we need more flexibility than a shared batch can offer?
  • Does anyone in the group need extra care, such as young children or older relatives?

If you answer yes to the last three, a private expedition is worth a closer look. If your answers are mostly no, a fixed departure will likely serve you well, and cost less.

A fair word about trade-offs

Private trips ask for a little more planning, and the seasons still decide what is possible. Not every trek can be run in every month, and weather can change plans in any format. A good team will say so clearly and suggest alternatives, instead of promising everything.

Also, there is real value in a mixed group. Some of the best friendships and funniest stories on a trek come from strangers. If you are open to that, a fixed departure is hard to beat.

Next step

Not sure which route fits? Tell us who is coming, roughly when, and what you hope to feel on the trail. We will suggest a fixed departure if one fits, or sketch a private plan if it does not. Start on the Private Expeditions page, explore Customize Your Experience, or ask a trek leader on WhatsApp.
